Clerk's Office

The statutory duties of the Clerk are numerous, technical and legally essential to the proper operation of municipal government.

Keep and Maintain All Official Township Records
All original records are kept on file in the Clerk’s Office.  This includes township policies procedures, ordinances, resolutions, roads and easements, forms, special assessment districts and vehicle titles.  In 2013, we began imaging documents and forms to make them more easily available to the general public.

Accounts Payable
We are currently responsible for preparing, submitting and disbursing accounts payable.  The Clerk’s office employs two full time bookkeepers to process payables and all other financial information pertinent to the Clerk’s responsibilities; including preparing and maintaining journals and ledgers necessary to reflect the assets, liabilities, fund equities and revenues and expenditures of each fund of the township.  The Clerk is currently one of two required signees on township checks.

This includes all employee agreements and contracts, all legal documents and contracts for essential services.

Responsible for All Township Board, Planning Commission, Zoning Board of Appeals and Parks & Recreation Meeting Minutes
After township board meetings, we prepare a synopsis and meeting minutes and publish them in accordance with lawful requirements.  We post all meeting notices, including special meetings as well as meeting cancellations.  All postings are done in accordance with the Open Meetings Act.

Secretary to the Civil Service Commission and Keeper of All Related Records
The Clerk serves as secretary to the Civil Service Commission on all matters.  We post all meeting minutes, notices, agendas and official eligibility lists for positions in both Police and Fire departments.  We maintain all eligibility lists for all new hires (usually two years) and promotional lists for administrative staff.

Both Police and Fire departments are covered under the State of Michigan Civil Service Act 78. This act was adopted 01/17/1972 after receiving a majority vote of the electors in White Lake.  Act 78 governs all hiring, promotion, suspension and dismissals of all police and fire personnel.  Our Civil Service Commission is comprised of three White Lake residents. Act 78 stipulates that one member is chosen by the township board, one member by police and fire, and the third member is chosen jointly by the other two members. 

Publication of All Legal Notices, Documents and Meeting Minutes
The Clerk’s office is responsible for the posting and publication of all legal notices, documents and Board of Trustee meeting minutes in a local newspaper.  We currently utilize the services of The Oakland Press and Public Notice Weekly. Notices are available for public inspection at the office of the Township Clerk, White Lake Township Hall, located at 7525 Highland Road, White Lake, Michigan, 48383, Monday through Friday during the Township’s regular business hours from 8 a.m. to 5 p.m., (excluding holidays and summer hours when we close at noon on Fridays) and on the Township’s website at www.whitelaketwp.com.

Licensure
Currently we issue licenses for all solicitations, precious gem dealers, fairs and exhibitions.  By township ordinances, ours solicitors must obtain a license from the Clerk’s office before the company, organization or individual can solicit door to door.  Do not hesitate to ask for a copy of their authorization.  Our current ordinance states; a person shall not solicit in an aggressive manner in any public place and a person shall not call upon, go upon the property of, or in any way disturb the occupant of a public building to solicit if that building or property has prominently displayed on or near the front door of front window of the building or at the entrance of the subdivision or condominium a sign with letters at least 1” high stating “no solicitors” or substantially equivalent language. Notary
The Township has available notaries in the Office of the Supervisor, Treasurer, Community Development and the Clerk during regular office hours. You must bring the entire document, unsigned along with your driver's license or state identification. Documents to be notarized must be in English.

This service is provided free of charge for our residents.

Accommodations for Meetings
The Township will provide accommodations for individuals needing assistance or aid to participation in Township public meetings. Please contact the Clerk's office at least five days in advance of a public meeting.

I have spent my adult life in public service. First as a decorated police officer, then as a member of the White Lake Township Planning Commission, and now as your Township Clerk. We perform our duties within the Clerk’s office in an honest, open and team-oriented environment so that we can best serve the interest and needs of our township residents.
